GT Enterprise Tableau Server 

Introduction

By accessing or using this service in any capacity, you implicitly acknowledge and agree to comply with and be bound by the following Terms and Conditions. Your use of this service signifies your acceptance of these terms. Additionally, by continuing to use this service, you agree to any modifications or updates to these terms, which may be implemented periodically. It is your responsibility to review these Terms and Conditions regularly to stay informed of any changes.

General Platform Usage

Access Levels

Report Developers

Departments that have completed the onboarding process are eligible to assign report developers within their designated top-level project. Report developers are responsible for creating and maintaining dashboards and reports

Modification Requests: The tenant department's designated point of contact can request modifications to their list of assigned report developers. These requests will be handled by the platform administration team to ensure proper role assignments and security compliance.

Viewers

Viewer groups will not be managed by individual departments. Instead, the platform administration team will create and manage security groups for access to nested projects within the department's top-level project.

Modification Requests: Report developers have the ability to request modifications to the viewer groups within their tenant’s projects. These requests will be handled by the platform administration team to ensure proper access control and alignment with security protocols.

Administration

All permissions and access control within the platform are centrally managed by the platform administration team to ensure consistency and security compliance.

Onboarding Process

Eligibility

Departments that demonstrate a need and readiness for Tableau Server usage may be considered as candidates for onboarding as a tenant department.

Training Requirement

All candidate departments must undergo an onboarding training session conducted by the platform administration team. This training ensures familiarity with the platform’s capabilities, responsibilities, and compliance requirements.

Access Approval

Upon successful completion of the training, departments will be granted access to their designated top-level project and appropriate permissions for their team members.

Access Termination

Developer Access

Developer access to the platform may be revoked upon request by the tenant department's designated point of contact.

Viewer Access

Viewer access to individual nested projects may be revoked upon request from any developer within the tenant department.

Automatic Revocation

Access may also be automatically revoked under the certain circumstances including changes in the individual’s job role that no longer align with platform access requirements and/or updates to organizational entitlements that affect the individual’s eligibility for platform access.

Data Security and Privacy

Data Sensitivity

All data must be treated with the same level of confidentiality as the source system (e.g., Banner, Workday, Data Warehouse). Highly restricted data in its source system retains that restriction in downstream reports, back-end databases, or local applications.

Confidentiality Responsibility

Users are responsible for maintaining the confidentiality of data in any reports, systems, or applications they create and manage. Misuse or mishandling of confidential data may result in access revocation or other corrective actions.

Data Export Controls

Export functionality is not explicitly restricted in Tableau Server. However, developers are prohibited from creating dashboards or reports that enable others to bypass existing security protocols by exporting sensitive data.

Data Usage Scope

Access to Tableau Server data sources is provisioned explicitly for analytics and visualization within Tableau. Developers must not use Tableau as a means to secure data for external activities or applications.

External Use Requests: Users requiring access to data sources for external purposes must work with the Enterprise Data Services team to arrange direct data delivery outside of Tableau.

Development and Report Creation

Data Source Access

Enterprise Data Services provides curated enterprise Tableau data sources across various domains (e.g., financials, student, HCM).

Developers must follow specific data access request procedures for each domain, which include obtaining approval from the relevant data stewards before access is provisioned by the platform administration team.

Development Guidelines

Developers should refer to Tableau’s official documentation for best practices regarding performance optimization and report development.

While formal guidelines are not yet established, dashboards should be efficient, intuitive, and tailored to the audience’s needs.

Security Measures

Developers should follow the principle of "less is more" when including data in reports and dashboards.

Sensitive data should be carefully evaluated to avoid oversharing or exposing unnecessary fields.

Refer to the Data Security and Privacy section for further guidance on maintaining confidentiality.

Compliance and Auditing

Audit Trails

All user activities on the Tableau Server platform, including data access, report modifications, and exports, are logged and monitored. This ensures accountability and helps identify potential misuse or breaches.

Compliance Standards

Users must comply with all relevant regulatory and organizational standards, including but not limited to:

FERPA (Family Educational Rights and Privacy Act)

HIPAA (Health Insurance Portability and Accountability Act)

GDPR (General Data Protection Regulation)

Failure to adhere to these standards may result in disciplinary actions, including access revocation.

Incident Reporting:

Any suspected data breaches or misuse should be promptly reported to the platform administration team through the designated contact channels provided during onboarding.

Training and Support

Training Requirements

Developers

Mandatory onboarding training is required for all departments to ensure understanding of platform usage, best practices, and compliance responsibilities. Following this, each department is responsible for training their own developers.

The platform administration team is available to meet with new developers to bring them up to speed. Additionally, refresher training sessions can be requested as needed.

Viewers

Training is not mandatory for report viewers.

Support Channels

Users can access support through the Data Community Teams channel, a collaborative space with over 200 developers from across the institute.

This channel provides resources for troubleshooting, sharing best practices, and receiving guidance on platform-related issues.

Changes to Terms

We reserve the right to modify these terms at any time. Your continued use of the service after any changes constitutes acceptance of the new terms.
